Built for teams
A separate organisation
Your organisation has its own users, spaces and encryption key: other customers can’t see it. A dedicated instance, on a virtual machine of its own, is available as an add-on, on quotation.
Users and storage under control
Your administrator creates accounts and decides how much space each one gets.
One department, one private space
Administration, Finance, Engineering: each department has its own workspace. Non-members can’t see those files, not even in search.
Several companies, kept apart
Two companies in the same group can be two separate organisations that can’t see each other.

The archive carries your logo and your colours.
Retention and legal hold
Retention rules and a legal hold on documents that must not be deleted (not the preservation required by Italian law).

An extra copy, if you need it
With the optional paid mirror copy service, your files are also replicated to external S3 or FTP storage.
On your computer, with the app
With the app for Windows, macOS and Linux everyone has on their computer their own files, the workspaces they belong to and the folders colleagues share with them.
Only from the office network
If you wish, the archive opens only from your organisation’s addresses: outside the office, access is refused.
Ransomware protection
If a virus encrypts the files on a computer, the app pauses uploading and the archive emails the user and the administrators; before deleting many files or a shared folder the app always asks first. Previous versions stay, and with Restore to a date you go back to before the attack.

The director is in the Management space and is also a member of the other two. Each department sees only its own documents, and everyone also has their own personal files.

Every action is logged
Sign-ins, uploads, shares and deletions go into a signed log kept for 24 months. Including Armada’s own actions as the provider.
Email and PEC, together with your documents
Connect your mailboxes (IMAP, PEC, Gmail, Google Workspace and Microsoft 365): messages arrive in the archive with attachments and acceptance and delivery receipts, and the mailbox stays as it is. Available as a module.

Frequently asked questions
Can departments see each other’s documents?
No. Each department works in its own workspace: non-members can’t see those files anywhere, not in lists and not in search.
Can the administrator read every file?
No. They don’t automatically see the files in spaces they are not a member of; if they add themselves to a space, the action is logged. Each user’s personal files are visible only to them.
How is the price calculated?
€5 per user per month (minimum 5 users) plus organisation storage, from €10 per month for 100 GB; VAT excluded, with yearly billing (monthly +15%). For example 15 users and 1 TB cost €115 per month. Users and storage can be expanded when needed.

Where is the data?
In Armada’s Italian datacentres. No document is sent to external services, not even for previews.
Is ArchiviOnline.it a qualified long-term preservation service?
No. It is a document management system for working documents. The preservation required by Italian law (conservazione a norma) requires a qualified preservation provider.
