Find a document from a tax code
Text in scans is recognised: search for a tax code or VAT number and find the document.
Delivery through a protected link
Payslips and returns go out with a password, expiry date and download limit. You see when the client opens them.
Payroll and accounting kept apart
The payroll and accounting teams work in different workspaces: each sees only its own documents.
Versions and trash
If a file is overwritten or encrypted by ransomware, go back to the previous version.
Document requests
Available as a module: send your client a link and they upload their documents straight into their folder, with no account and no attachments.
Email and PEC in the archive
Available as a module: connect your firm’s mailboxes (IMAP, PEC, Gmail, Google Workspace and Microsoft 365; PEC is Italian certified email). Messages, with their attachments and receipts, arrive in the archive and can be searched like any other document. The mailbox doesn’t change.
Retention and legal hold
Decide how long the documents in a folder are kept and what happens afterwards. The owner is notified first. This is not the preservation required by Italian law (conservazione a norma).
A typical day
The client uploads photos of their receipts through the request link: they arrive in the client’s folder and the text becomes searchable.
A payroll colleague finds an employment contract by searching for the employee’s name.
This month’s payslips go out with an expiring link. The link’s log shows when they were opened and downloaded.
A spreadsheet overwritten by mistake goes back to the morning’s version.
