One draft, with its versions
The draft stays in one place and every change keeps the previous version.
Drafts to the parties through a protected link
Password, expiry date and a notice when it is opened. The watermark is included in every version: you switch it on for each link.
Search inside searches and scans
Look for a name, an address or a cadastral reference: search looks inside the documents.
Private spaces
Office staff and associates work in the workspaces they belong to; they don’t see the rest.
Signed log
Every access, share and deletion is logged and kept for 24 months.
Approvals
Available as a module: ask the notary or an associate to approve a draft, with comments and mentions. There is a record of who decided what and when.
One dossier per deed
Available as a module: collect a deed’s searches, floor plans and drafts in a dossier, without moving them out of their folders.
Good to know
ArchiviOnline.it is a document management system and does not provide the long-term preservation required by Italian law (conservazione a norma). Documents that must be preserved that way stay with a qualified preservation provider, as they do today.
A typical day
An associate uploads the searches and floor plans for Thursday’s sale.
The notary sends the draft to the parties with a link that expires on the day of the deed and switches on the watermark for that link.
One party asks for a correction: the draft is updated and the previous version can still be viewed.
An old document is needed: search finds it from a street name, inside the scan.
