Email and PEC module
Email and PEC, together with your documents
Connect a mailbox (IMAP, PEC, Gmail, Google Workspace and Microsoft 365; PEC is Italian certified email) and ArchiviOnline.it copies its messages into the archive, with attachments and, for PEC, with receipts. The mailbox stays as it is: you keep using your email as usual.
How it works
- 01
Connect the mailbox
All you need is the mailbox’s IMAP server; for the main PEC providers the server details are pre-filled. Gmail, Google Workspace and Microsoft 365 mailboxes can be connected too: you authorise the connection on the Google or Microsoft page, without handing over the mailbox password.
- 02
Choose what to archive
The mailbox folders to read (Inbox, Sent, subfolders) and the date to start from. Older messages can be added whenever you like, one at a time, without duplicates.
- 03
The archive does the rest
It checks the mailbox every few minutes (every 15 by default) and copies new messages; there is also a “Check now” button.
What you get
The mailbox does not change
No message is deleted, moved or marked as read: the archive reads and copies, nothing else.
Full message or attachments only
For ordinary email choose between “Full message with attachments” (the original .eml message plus attachments) and “Attachments only”. PEC messages are always archived complete.
PEC receipts where they belong
Every PEC is stored with the provider’s envelope. Acceptance and delivery receipts link automatically to the message, which shows its status: Accepted, Delivered or Delivery error.
In tidy folders
Messages go into the folder you choose, in your files or in a workspace: one subfolder per message, with date and subject, containing the message and its attachments. Receipts go in “PEC receipts”.
Easy to find
Browse archived mail by mailbox and folder and search by subject and sender. With full-text search you also find words inside attachments.
Protected like your documents
Every file goes through the antivirus and the mailbox password is stored encrypted. Messages count towards the archive’s space.
Retention and legal hold
Archived messages are files like any other: in the Business and Public sector plans you can apply retention rules and legal hold, for example during a dispute.
This is not the preservation required by Italian law (conservazione a norma): that requires a qualified provider.
In the public sector
With the records registration (Protocollo) module an archived PEC becomes a pre-filled registration, and outgoing registrations are sent from the entity’s PEC mailbox, with the receipts linked.
Who switches it on
- Armada account
- The provider adds the module to the plan at the customer’s request and sets the general limits.
- Organisation administrator
- Decides whether everyone connects their own mailboxes or only the administrator does, connects the official PEC mailbox and assigns it to a workspace, sets limits and frequency, and can switch the module off. They cannot see the messages of users’ personal mailboxes.
- User
- Connects their own mailboxes, if the organisation allows it.
Which plans include it
All features- Personal
- Module, if included in the plan
- Business
- Plan module, with organisation mailboxes
- Public sector
- Plan module, with organisation mailboxes and the link with records registration
What it does not do, plainly
- It is not an email program: it does not send email or PEC (in the public sector only records registration sends them).
- It does not free up space in the mailbox: messages stay on the mail server too.
- It keeps the PEC provider’s signature, but does not verify it.
- Email body text is not indexed: you search by subject and sender.
- It is not the preservation required by Italian law (conservazione a norma).
