Folders shared with you

How to keep on your computer, read-only, the folders your colleagues share with you on the website.

Updated on 2 November 2026

If a colleague in your organisation shares a folder with you on the website, from app version 1.1.0 you can keep it on your computer too, next to your files and workspaces. Shared folders arrive not selected: the app tells you with a notification and you choose which ones to keep.

Choosing the folders to keep on your computer

  1. Open Settings → Shared with me: there is the list of folders shared with you, with the name of the person who shared them and the date.
  2. Select the ones you want. They appear in the Shared with me folder, inside the ArchiviOnline folder, as “Name (from Owner)”.
  3. To remove one, deselect it: the copy on your computer goes to the system trash (Windows, Mac or Linux), and nothing changes on the website.

On your computer they are read-only

Even if you can edit them on the website, on your computer shared folders are read-only:

  • changes made by the owner and your colleagues arrive on their own;
  • if you edit a file on your computer, the change is not uploaded: the file goes back to how it is in the archive and your version is moved to Shared with me → Unsynced local copies, where it stays yours. The same goes for a new file created in there;
  • if you delete or move a file, it comes back: the owner’s files are never touched;
  • if you delete a share’s whole folder from your computer, the app stops syncing it. You can choose it again in Settings.

To work on a shared file, use the website or copy it into your own files.

If the folder is no longer shared

When your colleague stops sharing the folder, you see the notification “This folder is no longer shared with you.”: the copy on your computer is removed and goes to the trash, while the Unsynced local copies stay.

What you need

  • An up-to-date Business or Public Sector archive: in the Personal version there are no colleagues to share with.
  • The app, version 1.1.0 or later: it updates itself, see App updates.
  • A share with download permission. Shared folders appear in the app; single shared files stay on the website.

Shared with me or workspaces?

Workspaces are the folders of an office or department: they belong to the organisation and, depending on your role, you edit them from your computer too. Shared folders belong to the colleague who shared them: on your computer you read them and keep them up to date, and changes are made on the website. If a group of people all work on the same documents, ask your administrator for a workspace.

More details in your archive’s guide, in the article Shared folders in the desktop app, which you can also open from the app’s Settings.
